Human Services Assistant
SALARY LEVEL: SCHEDULE E, LEVEL 4 FLSA STATUS: EXEMPT
DEPARTMENT: HUMAN SERVICES
SUPERVISOR: DIRECTOR OF HUMAN SERVICES
PRIMARY RESPONSIBILITIES:
Director staff position in which the incumbent is required to provide, and oversee office operations, and assistance to the Director of Human Services, Department and/or designee. Work performed is of a confidential nature and requires the capability to assume authority, act responsibly, work independently with minimal supervision, make decisions relative to the position, manage multiple assignments, and projects, simultaneously, perform administrative functions with a high level of proficiency.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Provides support to the Director of Human Services or Designee
2. Maintains office efficiency for the department by planning and implementing office systems, layouts
and equipment needed specific to the Human Services Department
3. Recommends efficient office system methods through computerization.
4. Maintains appointment calendar pertaining to the Director of Human Services or designee.
5. Maintains courteous communication with residents, vendors, and community partners
6. Receives and directs all phone calls and business contacts for the Director of Human Services or
designee.
7. Responsible for immediately notifying Human Services Staff of all emergency calls.
8. Responsible for tracking all grant obligations and expenditures and reporting the same on a monthly
basis to Director of Human Services or designee or others as directed.

9. Drafts, updates and maintains records for routine correspondences
10. Acts as a resource person for all functions of the Human Services Department.
11. Handles daily business activities directing operational matters to the respective staff members or
departments when appropriate.
12. Responsible for knowing work locations of all Human Services Staff.
13. Must stay abreast of all work projects or events being conducted within the department.
14. Coordinates staff meeting and events
15. Collects and assembles data for reports, meetings, and conferences relative to the Human Services
Department or as directed
16. Creates presentations and produce management -level reports
17. Attends, records and maintains records for all Human Service Department meetings
18. Keep management informed by reviewing and analyzing special reports, and summarizing
information
19. Attends all regular monthly and special board meetings.
20. Attend, records and maintains records for all meetings pertaining to the Director of Human Services or
Designee
21. Manages special assignments and projects as requested by the Director of Human Services or
designee.
22. Administers the maintenance and orders supplies for the office equipment, including but not limited to
copiers, calculators, personal computers, etc.
23. The duties may be subject to change based upon HUD requirements and the work load of the
department.

MINIMUM QUALIFICATIONS REQUIRED AT TIME OF APPLICATION
1. Associates Degree in Social Work, Human Services, Education or two (2) years of college in related course work (preferred) with one (1) year of increasingly responsible administrative support experience
in a managerial setting.
2. Proficient in current office management and practices.
3. Capable of understanding and following instructions
4. Ability to maintain effective work relations with other employees, all department heads, Housing
Authority residents, and federal, state and local government representatives.
5. Ability to work without supervision.
6. Ability to compose clear and concise correspondence and reports.
7. Ability to effectively communicate both verbally and in writing.
8. Ability to manage department related projects with a high level of proficiency

9. Thorough knowledge of business English, spelling and arithmetic.
10. Ability to operate a wide variety of office machines.
11. Must be willing to demonstrate proficiency in data entry. Typing speed must be 45 WPM.
12. Must possess a valid driver's license, be insurable by RHA and able to provide personal transportation
as needed to perform duties (reimbursement will be made per RHA Travel Policy). A copy of current driver's license and personal vehicle liability insurance (if operating a personal vehicle while on RHA business) must be on file in Human Resources.
13. High level of proficiency in Microsoft office and various software programs
SCOPE OF AUTHORITY:
Makes decisions relative to the position and provides assistance and direction to Human Services Staff, as needed, and/or directed.
