Maintenance Clerk Dispatcher

PRIMARY RESPONSIBILITIES:  A clerical support position, specifically, related to the Maintenance Department.  The incumbent keeps records on incoming calls, prepares work orders, closes work orders, answers telephone, and generally, communicates with tenants on a variety of matters.

 The incumbent reports directly to the IAMAW Maintenance Foremen, consulting the Director of Housing Operations on unusual policy matters.

 ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (other duties may be assigned):

 Accept incoming service requests for all RHA sites.

  1. Dispatch service requests to all sites according to priorities.
  2. Prepare work orders and distribute, accordingly.
  3. Complete work orders by closing and filing, accordingly.
  4. Responsible for immediately notifying supervisors of all emergency calls such as fires, major high pressure water breaks, gas leaks, etc.
  5. Responsible for knowing work locations of Maintenance/Construction staff.
  6. Must stay abreast of all work projects, such as modernization, extraordinary maintenance, etc. being conducted by supervisors.
  7. Responsible for mileage sheets/reports and retrieving information for mileage of all RHA vehicles.
  8. Responsible for receiving and retaining gas receipts from Maintenance/Construction staff and retaining a report on such.
  9. Responsible for retaining a vehicle maintenance file/report for all Maintenance/Construction staff.
  10. Responsible for generating all Maintenance billing for all services performed.
  11. Generate purchase requisitions, as needed.
  12. Prepare and retain vandalism, fire, etc. reports.
  13. Maintain all files, manuals, property drawings for Maintenance/Construction Department and Material Safety Data Sheets Binder.
  14. Generate reports to track materials used (inventory).

QUALIFICATION REQUIREMENTS:  To perform this job successfully, an individual must be able to perform each essential duty, satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   1. The position requires the ability to work with a personal computer in a Windows environment, utilizing word processing and spreadsheet applications such as Word, Excel, Outlook and Access, as well as HUD-related software. Must be able to accurately type at least 40 words per minute.
  2. Must have the ability to communicate clearly and effectively, both orally and in writing.
  3. Ability to prepare clear and concise reports.
  4. Proficient with figures, particularly, simple mathematical computation.
  5. Ability to deal effectively with the public.
  6. Basic knowledge of construction & mechanical maintenance materials/nomenclature.
  7. Ability to handle varied clerical assignments.
  8. Intermediate knowledge of electronic devices such as tablets, smartphones, etc.
  9. Ability to complete work assignments with minimal supervision.
  10. Ability to work harmoniously with fellow workers.
  11. Ability to maintain adequate attendance, and a neat, clean appearance in accordance with RHA Employee Handbook Guidelines.
